How to Prepare and Pack for a Week-Long Destination Wedding in Europe (For Wedding Photographers)

Jetting off to Europe for a destination wedding? Dreamy. Stress-free packing and prep? That’s the real goal. Whether you’re heading to Lake Como, Paris, or the Amalfi Coast, here’s everything you need to know to make sure you’re packed, prepared, and fully ready to capture magic abroad—with zero panic at the baggage carousel.

1. Start with the Timeline: Know the Flow

Before anything else, confirm:

  • Wedding date + call time
  • Any pre-wedding events you’re expected to shoot (rehearsal dinner, welcome drinks, brunch)
  • Travel dates, time zone changes, and potential jet lag buffer
  • Transportation and lodging confirmations

This helps you build a clear mental map for what gear and outfits you’ll need—and avoids overpacking.

2. Pack Smart, Not Heavy: Gear Edition

Here’s the gear I never travel without:

✅ 2 camera bodies (mirrorless or DSLR)
✅ 3 lenses: 28-70, 70-200 and an 85
✅ External flash + batteries (direct flash is chef’s kiss for destination weddings)
✅ Memory cards (more than you think you’ll need!)
✅ Portable hard drives for daily backups
✅ International outlet adapters
✅ A travel surge protector (super underrated)
✅ Laptop with card reader and charger
✅ Noise-canceling headphones for flights/editing

3. Organize Digitally

  • Make folders ahead of time for each wedding on your hard drive
  • Backup any previous sessions before you leave
  • Keep PDFs of contracts, travel confirmations, and contact info in your phone + printed

And if you use HoneyBook or Notion—sync your notes and schedules for offline access.

4. Pack for Comfort + Vibes

Think light, layerable, and timeless.

👗 For shooting: All black or neutral outfits with pockets, breathable fabrics, and comfy shoes
💼 For travel: A smart capsule wardrobe that includes casual outfits, dinner outfits, and a backup wedding-day fit in case of rain or spills
🧴 Beauty + health: Sunscreen, dry shampoo, meds, Advil, eye drops, Airborne, hand sanitizer

5. Don’t Forget These Essentials:

  • Passport + digital/physical copies
  • Local currency (some taxis and vendors don’t take cards!)
  • Euros or GBP depending on the country
  • A reusable water bottle
  • Snacks for long shooting days
  • Lens cleaning cloths + microfiber wipes

Bonus Tip: Use packing cubes to stay organized and fit more into your suitcase without the chaos.

6. Protect Your Work & Yourself

  • Travel insurance (some policies cover your gear too!)
  • Business insurance that covers international work
  • GPS tags (like AirTags) in your camera bag + checked luggage
  • Register your trip with your embassy if traveling solo
  • Consider a VPN for internet safety

7. Be Wedding-Day Ready

Arrive at least 1–2 days before the event to:

  • Scout locations and lighting
  • Adjust to the time zone
  • Meet with the couple or planner

In Conclusion

Being a destination wedding photographer in Europe is a total dream—but being prepared is what makes it smooth and stress-free. Thoughtful packing, smart planning, and a little redundancy in your gear can make the difference between an incredible experience… and a chaotic one.

Whether you’re capturing vows in a Tuscan villa or a Parisian château, your preparation sets the tone. Pack light. Back up often. And leave space in your bag—for memories, of course.
